In
the case where the addressee is in the same country where the litter
is sent, the inside address and the outside address on the envelope
do not call
for the name of the country. When writing or typing
the inside address and indeed the outside address, it is safe to
copy the address given in the incoming letter, avoiding abbreviations
unless they appear in the incoming one. In most cases, the address
follows the order of house number first, then street, town, state,
postal code and finally the country name. And if one line in the
address, say the mane of the firm, is too long in
comparison with the other lines, divide the long
line into two by indenting the second line two spaces.
The salutation, which runs parallel
to the letter body, is the complimentary greeting right before the
body of the letter. The following salutations are frequently found
in business letters:
1、“Dear Mr. ×××” is used when
the sender is familiar with the person, or in
answer to a letter received.
2、“Dear Sir(or Madam) ” is commonly
used salutations to unintimate addressee. Showing respect rather
than affection. While “Dear Sir ”is usually used
to address the executive officer of an institution, and “Sir” is
used to address a high ranking government official. “Madam” can
also be used for either the married or the unmarried woman.
3、“Dear Sirs (or Gentlemen)”
is the most frequently used salutation to address a business firm
or an organization when you have no idea whether the executives
of the unit are made up of males or females. If you are aware that
the executives are females, the corresponding salutation is “Ladies”.
